What is a Gestoria?

A Gestoria is a typically Spanish concept that has no direct equivalent in Germany. It can best be described as a mix between a tax adviser and an administrative service provider. A Gestor Administrativo handles bureaucratic matters on your behalf: taxes, dealings with authorities, registrations, and permits.

For Germans on Mallorca, the Gestoria is often the first and most important point of contact. It knows Spanish bureaucracy, speaks the language of the authorities, and saves you hours of waiting time and frustration.

Good to know

The profession of Gestor Administrativo is regulated in Spain. Gestores must pass a state examination and be registered with the Colegio de Gestores Administrativos. If in doubt, ask for their registration number.

What do I need a Gestoria for?

For private individuals

NIE and Residencia: The Gestoria can apply for your NIE (Numero de Identidad de Extranjero) and guide you through the entire Residencia process. You issue a power of attorney and the Gestoria handles all the dealings with the authorities.

Tax return (Renta): The annual income tax return in Spain is difficult for non-specialists to navigate. A Gestoria prepares it for you and makes sure you use all allowances and deductions.

Property purchase: When buying a property, the Gestoria helps with the transfer tax, registration in the land registry, and the necessary permits.

Car registration: Re-registering a car or completing a transfer when buying a vehicle is handled through the DGT. A Gestoria takes care of that for you.

For self-employed people and businesses

Autonomo registration: The Gestoria registers you with the Agencia Tributaria and the Seguridad Social, applies for the Tarifa Plana, and sets up your tax numbers. More details on this are in our Autonomo guide.

Ongoing bookkeeping: Quarterly tax returns (Modelo 303, 130, 111), social security filings, and annual accounts. For most Autonomos, this is the main reason to have a Gestoria.

S.L. formation: If you want to set up a Sociedad Limitada, the Gestoria guides you through the process from name reservation to registration in the commercial registry.

Modelo 720: The declaration of foreign assets over 50,000 EUR is relevant for many Germans in Spain. The Gestoria makes sure you meet the deadline and report everything correctly.

Gestoria vs. Tax Adviser vs. Lawyer

In Spain there are three professional roles that partially overlap:

Gestor Administrativo: Specialist for administrative acts and dealings with authorities. Handles tax returns, registrations, and bureaucratic matters. The right choice for most everyday issues.

Asesor Fiscal (tax adviser): Goes deeper into tax optimisation and planning. Useful for complex income situations, international tax law, or if you have assets in several countries.

Abogado (lawyer): For legal disputes, contract drafting, and legal advice. A Gestoria is not permitted to offer legal advice in the strict sense. More on this in our lawyer guide.

For most people moving abroad, a good Gestoria is perfectly sufficient. You only need an Asesor Fiscal or Abogado in addition for more complex cases.

Costs of a Gestoria

Prices on Mallorca are not uniformly regulated and vary depending on the scope of services. As a rough guide:

Individual services such as a NIE application or an annual tax return are charged as a flat fee. For ongoing support as an Autonomo you pay a monthly flat rate that covers all regular tax and social security filings.

Agree on prices in writing beforehand

Ask for a written quote before starting your working relationship. Some Gestorias charge additional fees for individual transactions that you had not planned for. A clear list of services with fixed prices protects you from surprises.

Finding the Right Gestoria

What to look for

German-speaking support: On Mallorca there are several Gestorias with German or German-speaking staff. This is invaluable at the start, when you do not yet have a command of Spanish technical vocabulary.

Experience with expats: Not every Gestoria is familiar with the specific issues that affect EU citizens (e.g. double taxation agreements, Modelo 720, the Beckham Law). Ask specifically about experience with German clients.

Accessibility: A Gestoria that is only reachable by phone and never calls back creates more stress than it solves. Make sure it is easily reachable by email or WhatsApp and responds promptly.

Recommendations: Ask in the German community on Mallorca about their experiences. Personal recommendations are often worth more than Google reviews.

Where to look

The best starting points are recommendations from the German community, Facebook groups for Germans on Mallorca, and the Colegio de Gestores Administrativos de Baleares, which maintains an official directory of registered Gestores.

Tips for Working Together

Keep documents organised: The better you organise your paperwork (invoices, bank statements, contracts), the less time the Gestoria needs and the cheaper it becomes for you.

Know the deadlines: Even if the Gestoria handles your taxes, you should keep the most important deadlines in mind. The Renta deadline falls at the end of June every year. Quarterly filings as an Autonomo are due on the 20th of the month following the end of each quarter.

Ask if you do not understand something: A good Gestoria explains what it does and why. If you do not understand an invoice or an official notice, ask. You are ultimately responsible for your own taxes, not the Gestoria.

Plan an annual review meeting: Once a year you should discuss with your Gestoria whether anything has changed in your situation that is tax-relevant. New income sources, property purchase, inheritance - all of these can have implications.

Tip: You can switch at any time

If you are not happy with your Gestoria, you can switch at any time. The old Gestoria is obliged to hand over all your documents to you. It is best to switch at the turn of the year so that the bookkeeping can be transferred cleanly.
