Switching Gestorías on Mallorca: How to Change Without Missing a Deadline

Anyone thinking about switching gestorías tends to put it off for months, worried about being left without a point of contact in the middle of a quarter. In reality, the switch can be timed cleanly if you keep to the right order: finish the current filing first, then request your documents, then transfer your powers of attorney at the Agencia Tributaria and Seguridad Social. Get that order wrong, and you can lose access to Sede Electrónica and Import@ss exactly when you need it most.
At a glance
The best time to switch gestorías is right after filing your current quarterly return, not in the middle of it. Before you cancel, request your libros de registro, filed Modelos, and access to Sede and Import@ss. The apoderamiento (power of attorney) with the AEAT and the authorization in the Seguridad Social's Sistema RED both need to be revoked and re-granted at the new office, otherwise your new gestoría has no visibility into your file.
When switching gestorías is worth it
Switching gestorías is the orderly handover of your ongoing tax and social security matters from one administrative office to another, including transferring your powers of attorney with the Agencia Tributaria and Seguridad Social, and handing over every filed document.
There's no shortage of reasons to switch: being hard to reach, mistakes in filed Modelos, an office that only speaks Spanish when you'd rather communicate in English, or a price that no longer matches the service. Whatever a gestoría on Mallorca currently handles for you can, in principle, be handed to a different office at any time. What decides whether the switch goes smoothly, though, is the timing.
The right time to switch
The quarterly filings with the Agencia Tributaria (Modelo 303 for VAT, Modelo 130 for the income tax prepayment) are due four times a year: April 20, July 20, October 20, and January 30 for the fourth quarter. Switch right after one of those filings, never before or in the middle of one. Your old gestoría will have closed out the current period cleanly, and the new one takes over a fresh period with no open items. Switching two weeks before the 20th almost always means the new gestoría is taking over figures under time pressure, figures it hasn't checked itself.
As an autónomo in Spain, this affects you directly, because the quarterly filings are tied to your own tax number, not to the office handling them. A missed deadline caused by switching in the wrong week counts against your own tax return, not the gestoría's.
Documents and access to request beforehand
Before you give notice, request the following in writing, ideally by email so there's a record:
- Libros de registro (income and expense books) for the last few years
- Copies of every filed Modelo, at least for the last four quarters
- Login details, or confirmation of access, for Sede Electrónica and Import@ss
- Copies of contracts, rental certificates, or other documents the office holds in original
- A list of open matters or ongoing proceedings with the tax office or Seguridad Social
Check the notice period in your contract
Some gestoría contracts have a notice period of one to three months. Check this before you set a switch date, otherwise you'll end up paying both the old and the new office for a month.
Transferring powers of attorney at AEAT and Seguridad Social
The core of the switch is the apoderamiento, the power of attorney that lets your gestoría act on your behalf with the authorities. It needs to be revoked and re-granted in two separate places.
At the Agencia Tributaria, you revoke the existing apoderamiento in the Registro de Apoderamientos via the Sede Electrónica, and grant a new one to your new office, usually with a Certificado digital or Cl@ve. At the Seguridad Social, this runs through the Sistema RED and the Registro Electrónico de Apoderamiento, through which your new office receives the authorization to file on your behalf.

Seguridad Social: Sistema RED and Registro Electrónico de Apoderamiento

It often takes one to three business days before the new power of attorney becomes active. Build that gap into your planning before a deadline comes up.
Three situations keep coming up in practice when people switch. The notice period in the old contract gets overlooked because it's buried in the small print and nobody checks. The Certificado digital sits on a computer at the old office instead of on your own USB stick or your own Cl@ve registration, so you have to request a new one. And follow-up requests from the Agencia Tributaria about matters from before the switch end up with the new office, which can't answer them without the old records.
Tip: manage your own Certificado digital
Apply for your Certificado digital in your own name and keep it yourself, independent of your gestoría. That way you're not relying on the old office's cooperation when you switch.
Frequently asked questions about switching gestorías
Can I switch gestorías in the middle of a quarter? Technically yes, but it's not recommended. The new gestoría then has to take over figures for a period it didn't book itself. Switching right after the quarterly filing avoids that handover mid-period.
Do I need to inform the old gestoría in person? Written notice is enough. Still, a short conversation is worth having, to sort out the handover of documents and avoid missing any deadlines.
Conclusion
Switching gestorías rarely fails because of the decision itself, it fails because of the order. Wait for the day after the quarterly filing, gather your libros de registro, Modelos, and access before you give notice, and only transfer the apoderamiento and Sistema RED authorization once the new gestoría is ready to start.
