Few words will follow you around Mallorca as persistently as cita previa. Whether it is your NIE number, tax number, social security registration or exchanging your driving licence: almost every trip to a public office starts with a pre-booked appointment. If you need a cita previa on Mallorca and simply show up without a reservation, you will usually be turned away. This post shows you which offices require an appointment, how the online booking works step by step, and what you can do when no slots are available for weeks.

What is a cita previa anyway?

A cita previa is a pre-reserved appointment with a Spanish public office. Without this online reservation, most offices on Mallorca will not see you, because many of them have abolished walk-in service. The appointment is personal, free of charge and confirmed with a reference number or a PDF.

The important thing to understand: there is not one single cita previa system, there are many. Each authority runs its own portal. An appointment with the immigration office is useless if you actually need the social security office.

Which offices require a cita previa

For most administrative errands on Mallorca the rule is: no cita previa, no service. That applies to at least five key offices that newcomers need early on:

• Extranjería and the National Police: for the NIE number, the residence certificate (Certificado de Registro) and residency
• Seguridad Social: registering with social security, getting your social security number
• Agencia Tributaria (Hacienda): tax number, questions about your tax return, Modelo forms
• DGT (traffic authority): exchanging your driving licence, re-registering a vehicle
• CAIB and Ajuntament: many services of the Balearic government and your municipality, in some towns also the empadronamiento

Booking a cita previa online: how it works

The process is similar on almost all portals. Have your passport or national ID card ready, because you will need the document number or your NIE if you already have one.

No appointments available? Here is what you can do

The most common frustration: you open the portal and get a message saying no appointments are available. Especially at the Extranjería in Palma, slots are often booked out several weeks ahead. That is no reason to give up.

• Check early in the morning: many offices release new slots overnight or early in the morning. Checking around 8 am improves your chances.
• Keep at it daily: appointments get cancelled too. A quick look every day is often worth more than hours of searching on a single day.
• Try other branch offices: some procedures can also be booked in Inca or Manacor instead of Palma, where waiting times are shorter.
• Hire a gestoría: a gestor knows the systems, sometimes has their own access channels and will handle the appointment hunt for a fee.

Extranjería and the NIE: the hardest appointment to get

The appointment with the immigration office is, in our experience, the hardest one to get on the whole island. Take care to select exactly the right procedure. For a tax-only NIE you pick a different trámite than for the residence certificate as an EU citizen. Pick the wrong one and your appointment gets cancelled at the counter, and you start over.

Also plan enough lead time. If you are moving in summer, be aware that waiting times are especially long in high season. And if the whole bureaucratic marathon gets too much, professional help with your official errands can make the paperwork a lot more relaxed.

Do I need a new cita previa for every errand?

Yes. Each appointment is valid for one person and one procedure. For the NIE, social security and the tax number you book three separate appointments at three different offices. Always bring the confirmation, on paper or on your phone.
